Job Overview:

Eva’s Village is a nonprofit organization helping individuals struggling with hunger, homelessness, substance use disorder and mental health challenges. If you’re a special events professional who wants to give back to those in need, this is the position for you. 

Working closely with the current Manager, Special Events and Major Gift Cultivation (who will be retiring), the Special Events Manager’s primary responsibility is to execute special events that raise critical funds for the organization. The position requires an individual who is very organized with excellent interpersonal skills to successfully develop strong relationships with event donors, vendors, and venues.

Special Events  

Currently Eva’s Village has five major fundraising events per year [Casino Night, Fashion Show, Golf Outing, Chef Tasting, Annual Gala] and several smaller donor cultivation events [Intimate Dinners with Major Donors, the opening of the Culinary School, etc.] which raise over $2 million. 

The Special Events Manager will eventually be responsible for all elements of fundraising and donor cultivation events, including planning, execution, completion, and post analysis. 

The Special Events Manager will work closely with the Sr. Director of Development & Communications and Senior Management on our event fundraising strategy, establishing event fundraising goals and the sustainability of each event.

Duties:   

  Event Management 

1. Ensuring fundraising and event execution best practices are met. 
2. Leading the planning and execution of all aspects of event planning from conception to completion. 
3. Building and managing each event with the goal of maximizing fundraising, constituency building, and event day experience.
4. Setting and meeting event goals and objectives, budget management and renewals of event donors and new constituents. 
5. Supervising the development of materials related to events including external communications, printed event materials (including but not limited to signage, programs, nametags, etc.) and event scripts in collaboration with the Sr. Director of Development & Communications. 
6. Working with the Volunteer Coordinator to identify volunteer needs for each event. 
7. Supervising event volunteers to assure the success of all event programs and initiatives. 
8. Managing all event day logistics including, but not limited to: 
9. preparing staff and volunteers for their roles at the events 
10. acting as point person for any questions from guests, staff, volunteers, or the venue. 
11. responding to and resolving any issues that arise 
12. keeping the Run of Show on schedule 

Event Evaluation and Documentation 

1. With the Development team’s feedback, documenting an event recap of each event outlining what worked well and opportunities for improvement. 
2. Evaluating the effectiveness (ROI) of each special event, providing routine fundraising reports to the Senior Director of Development & Communications and/or CEO, upon request and making recommendations regarding future events. 
3. Providing a preliminary Revenue/Expense reconciliation of each event in a timely manner, followed by a final reconciliation after all donations and invoices have been received. 
4. Documenting ALL communications (phone calls, emails, texts, in-person meetings) with Event donors in Raisers Edge including helpful personal information or other relevant details.
5. Documenting/filing all details for each event in the relevant TEAMS. 

Relationships and Donor Cultivation 

1. Establishing and maintaining effective relationships with Eva’s Village Board members and staff at all levels. 
2. Overseeing event committees and providing guidance to event chairs in securing sponsors and participants. 
3. Providing direct support to the Senior Director of Development & Communications by assisting in identifying, cultivating, and stewarding donor prospects from special events. 
4. Identifying and recruiting corporate sponsors for Eva’s Village special events. 
5. Updating donor records in Raiser’s Edge following all donor interactions.
6. Representing Eva’s Village in a positive manner at all times, including working with donors, constituents, staff, volunteers, and vendors. 

Qualifications:  

• At least 5 years of experience working on events. 
• Experience executing multiple events in one year. 
• Bachelor’s Degree
• Previous nonprofit event experience bringing in at least seven figures per year preferred. 
• Experience with Raisers Edge (or other CRM) preferred.
