Our client, a dynamic and fast-growing company headquartered in Santa Monica, is seeking a highly organized and proactive Office Manager / Executive Assistant to join their team. This is a unique opportunity to support senior leadership while overseeing the day-to-day operations of a busy office.

The ideal candidate is someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and brings a balance of professionalism, adaptability, and problem-solving skills. This role requires being onsite five days a week in the Santa Monica office.

Key Responsibilities

Executive Support

  • Provide administrative support to executives, including calendar management, travel coordination, expenses, and meeting preparation.
  • Draft correspondence and act as a liaison between leadership and stakeholders.
  • Anticipate executive needs and ensure workflows are efficient.

Office Management

  • Oversee daily office operations, ensuring a productive and collaborative environment.
  • Partner with building management and vendors to maintain office functionality.
  • Manage office supplies, equipment, and facility needs.
  • Coordinate office lunches, events, and company-wide initiatives.
  • Support new hire onboarding in collaboration with IT.
  • Maintain systems, policies, and processes that streamline operations.

Operational Excellence

  • Support People Operations with onboarding, offboarding, and employee engagement initiatives.
  • Identify opportunities for process improvements and implement solutions.
  • Collaborate across departments to ensure smooth communication flow.

Qualifications

  • 4+ years of experience in office management, executive assistance, or administrative leadership, ideally within a high-growth environment.
  • Bachelor’s degree preferred; high school diploma or equivalent required.
  • Strong organizational, communication, and time-management skills.
  • Proficiency with modern productivity tools (Google Workspace, Slack, Zoom, expense platforms, etc.).
  • Ability to prioritize and manage competing deadlines in a fast-paced environment.
