Our client, a company in the tech industry located north of Boston, is in search of an Executive Assistant. This is an onsite position Monday to Friday, 9am to 5pm, with an hourly rate of up to $40/hour depending on experience. The Executive Assistant will be providing support to the C-suite's administrative needs and closely collaborating with the existing Executive Assistant.
Responsibilities:
* Coordinate logistical arrangements for assigned teams, including travel, expenses, complex calendar management, meeting scheduling, catering, and vendor coordination.
* Offer administrative assistance, such as composing, editing, and sending written and electronic correspondences, memos, forms, presentations, and reports.
* Collaborate across departments and with other administrative personnel to facilitate interview schedules, team meetings, external vendor meetings, and customer interactions.
* Manage the processing of expense reports.
* Prepare meeting agendas and materials, ensuring all logistical details are in place for meeting days.
* Provide front desk coverage when required.
* Maintain accurate databases in collaboration with the travel provider.
* Engage in ad hoc projects as required by Senior and Executive Leadership.
Qualifications:
* A minimum of 5 years of progressive administrative support experience, with a strong focus on customer service.
* Demonstrated ability to exercise sound judgment in a fast-paced, rapidly evolving enterprise environment with minimal supervision.
* Commitment to maintaining confidentiality.
* Self-motivated individual capable of multitasking and consistently following up on outstanding tasks.
* Capacity to work effectively both independently and as part of a team.
* Ability to remain composed and adaptable while managing shifting priorities and responsibilities.
* Experience in a growing startup environment.
