Job Description
SUMMARY Under direction from the Events Manager, assists in the execution of all aspects of citywide events to include on-site support and administrative support.
SUPERVISION EXERCISED None.
ESSENTIAL DUTIES - Coordinate all aspects of Special Event Permits for the City to include, but not limited to - reviewing/approving applications, ensuring all required documents are submitted, meet on site with event organizers, be on site during the special event to ensure all policies and procedures are followed.
- Oversee Athletic Field Reservations, inputting upwards of 500 reservations for each athletics season.
- Submit approved invoices for check requests to finance.
- Answer events line phone calls, providing customer service to our community.
- Schedule and perform facility walkthroughs with potential renters, providing customer service to those interested in our facilities.
- Assist with facility reservations.
- Serve as the main coordinator for our recurring events (food truck nights, First Friday's, Community Market), working to continue these and find ways to expand.
- Assist with all other City Events throughout the year.
- Perform other related duties and responsibilities as assigned.
MINIMUM QUALIFICATIONS Education: High school diploma or GED. Bachelor's degree in hospitality, marketing, event planning, recreation, or related field, preferred.
Experience: Four years of related experience. Education may be substituted in lieu of experience on a year for year basis.
Certifications/Licenses: - Valid Utah Driver's License
KNOWLEDGE, SKILLS, AND ABILITIES Knowledge of:
- Event operations and coordinating multiples projects at once.
- Basic conflict resolution and mediation techniques.
- English usage, spelling, vocabulary, grammar, and punctuation.
- Principles and techniques used in dealing with the public.
- Word processing methods, techniques, and programs including spreadsheet and database applications.
- Safe driving principles and practices.
Skill with:
- Operating modern office equipment including computer equipment and software.
- Operating a motor vehicle safely.
Ability to:
- Work cooperatively with department supervisors, staff, volunteers, City officials, outside agencies and the public.
- Exercise initiative and work under limited supervision within a broad framework of standard policies and procedures.
- Maintain confidential data and information.
- Plan and organize work to meet schedules and timelines.
- Communicate clearly and concisely, both orally and in writing.
- Work in a fast-paced environment on multiple projects at once.
WORKING CONDITIONS AND PHYSICAL DEMANDS Work in a standard office environment which includes reaching, bending, sitting, standing, talking, hearing, and listening. Ability to travel to different sites and locations. Ability to work outdoors in all weather conditions and be on your feet for extended periods of time. Applicant must be able to work nights, weekends and holidays for events.
