The ESS State Reporting and Monitoring Specialist is responsible for coordinating all state-mandated special education reporting and monitoring requirements across multiple states where Vertex-managed schools operate. This includes managing federal and state data submissions such as special education child counts, discipline and removals reporting, and other IDEA-related collections; overseeing compliance with state education agency monitoring cycles; and ensuring data accuracy, integrity, and timeliness.

ESSENTIAL FUNCTIONS:

The Specialist will:

  • Develop and maintain annual compliance calendars and workflows for all reporting and monitoring requirements.
  • Lead large-scale, multi-state projects that span an entire school year or longer, ensuring all deadlines and quality standards are met.
  • Coordinate with internal teams and campus staff to gather, validate, and certify required data across systems.
  • Serve as the primary liaison with state education agencies for data collections, monitoring reviews, and corrective actions.
  • Establish and oversee data quality assurance processes, proactively identifying and resolving discrepancies.
  • Provide training, tools, and clear communication to school-based and network staff to ensure consistent reporting practices.
  • Track state and federal regulatory changes related to special education data and translate requirements into internal procedures.

KNOWLEDGE, SKILLS, & ABILITIES:

Education, Licensure, or Certification:

  • Special Education teaching certification.
  • Master’s Degree in Special Education or related field.

Work Experience or Related Experience :

  • 5+ years of experience in special education as a certified/licensed member of an IEP team.
  • Demonstrable knowledge of federal laws and corresponding regulations pertaining to K-12 education for students with disabilities.
  • Operational understanding of the educational requirements of states within which Vertex manages schools regarding program support & monitoring.

  • Advanced proficiency in student information systems (SIS), special education data platforms, and state reporting portals.
  • Strong knowledge of IDEA reporting requirements, including child count, discipline, and other federally required data collections.
  • Demonstrated ability to manage complex, long-term projects with multiple deliverables and stakeholders.
  • Expertise in data validation, analysis, and reconciliation to ensure accuracy and compliance.
  • Proficiency with Microsoft Excel, Google Workspace, and project management tools (e.g., Asana).
  • Ability to develop clear procedures, guidance documents, and training resources for staff.

  • Exceptional organization and time management, with the ability to juggle overlapping deadlines across states.
  • Strong attention to detail and accuracy, ensuring error-free reporting.
  • Clear and professional communication skills, both written and verbal, to engage with school teams and state agencies.

BACKGROUND CHECKS:

  • The incumbent in this position will be required to pass a criminal history background check.
  • Must be able to obtain and hold a valid IVP Level One Fingerprint Clearance Card at all times.

PHYSICAL AND TRAVEL REQUIREMENTS / WORK ENVIRONMENT:

  • Travel between campuses is required approximately 25% of the time.
  • Valid driver’s license is required.
  • This position requires the need to lift objects (up to 25 pounds) on occasion.
  • This position may require sitting for long periods at times, talking on the phone, standing, kneeling, stooping and long periods of concentration.
  • Local, in-state, and out of state travel required.
